Administrative Assistant (Distribution Center)


Position Overview
We are seeking a detail-oriented and organized Administrative Assistant to support daily operations within a fast-paced Distribution Center environment. This role provides clerical, administrative, and operational support across multiple functions including sales, HR, payroll, and office management.


Key Responsibilities
Sales Support
  • Answer and direct incoming calls; support front desk/reception duties
  • Enter and process customer orders, including urgent requests
  • Prepare and distribute sales materials (copying, laminating, etc.)
  • Track and maintain sales-related data and reporting boards
  • Assist with meeting coordination, notices, and materials
Administrative Support
  • Coordinate employee events, meetings, and catering logistics
  • Manage incoming/outgoing mail and shipments
  • Maintain office directories and schedule conference rooms
  • Ensure compliance with internal audit guidelines
  • Provide general administrative support to leadership
Human Resources Support
  • Assist with new hire onboarding and orientation processes
  • Collect and maintain employee documentation and required postings
  • Support compliance tracking (training, certifications, safety records)
Payroll & Records
  • Maintain timekeeping records and support payroll processing
  • Monitor timekeeping systems for accuracy and compliance
  • Assist with audits and reporting as needed
Office & Equipment Support
  • Maintain office equipment and coordinate service requests
  • Support phone system and voicemail administration


Qualifications
Education
  • High school diploma or GED required
  • Some college coursework preferred
Experience
  • 0–3 years of administrative or clerical experience
  • Prior experience in an office or distribution environment preferred
Skills
  • Strong customer service and problem-solving abilities
  • Proficiency in Microsoft Excel, Word, and PowerPoint
  • Excellent organizational and data entry skills
  • Professional phone etiquette and communication skills
  • Ability to manage multiple priorities in a fast-paced environment
  • Bilingual skills preferred (Spanish)
Additional Requirements
  • Ability to lift up to 50 lbs. occasionally
  • Must be able to pass background, credit, and drug screening
  • Flexible schedule availability


Work Environment
This role operates within a distribution center setting and may require adherence to safety protocols, including the use of personal protective equipment (PPE) as needed.
