About the Company
A leading engineering and infrastructure organization supporting large-scale industrial and energy-related projects is seeking a highly organized and detail-oriented Document Controller III to support complex, multi-discipline project environments. This role is critical to maintaining document integrity, workflow compliance, and communication between internal teams, clients, and vendors.
Position Summary
The Document Controller III will lead document control activities across complex projects while ensuring all engineering and project documentation is processed, tracked, distributed, and maintained in accordance with established procedures and contractual requirements. The ideal candidate will possess advanced EDMS expertise, strong analytical capabilities, and the ability to work independently in a fast-paced environment. Bilingual Spanish fluency is required.
Key Responsibilities
- Lead document control activities for complex and multi-discipline projects
- Serve as primary point of contact for project documentation activities
- Upload, manage, track, and distribute documents within the EDMS platform
- Maintain accurate metadata, document numbering, revision control, and filing structures
- Process transmittals, correspondence, workflows, approvals, and distribution matrices
- Manage project Master Document Lists (MDL/MDR) and ensure alignment with engineering deliverables
- Coordinate document reviews between internal teams, clients, and vendors
- Prepare project reporting and status updates
- Ensure compliance with project procedures, contractual requirements, and audit standards
- Support workflow optimization and continuous process improvements
- Mentor and provide guidance to junior document control staff
- Support audits, quality reviews, and document quality checks
Required Qualifications
- 4–6 years of document control experience supporting complex projects
- Advanced EDMS knowledge required
- Strong preference for experience with Content Server
- Must be fluent in Spanish (written and verbal)
- High proficiency with Microsoft Excel and Adobe Acrobat Pro
- Strong organizational, analytical, and reporting skills
- Excellent written and verbal communication skills
- Ability to interpret contract documentation requirements
- Strong follow-up discipline and attention to detail
- Ability to manage multiple priorities and meet tight deadlines in a fast-paced team environment
- Ability to work independently with minimal supervision
Preferred Qualifications
- Bachelor’s Degree in Engineering, Business Administration, Information Management, Quality Assurance, Process Management, or a related field preferred
- Experience supporting engineering, industrial, infrastructure, or energy-related projects preferred
