Location: Chicago, IL 60606 Hybrid
End-Client: Large Oil & Gas Company
Pay: $35 - $41.51/hr.

Length of Assignment: 12 months with possibility to extend
Role Synopsis
We are seeking a highly organized and proactive Executive Personal Assistant to support the CEO of bp pulse. This role is pivotal in ensuring the smooth operation of the CEO's office by managing schedules, coordinating meetings, and handling confidential matters with the utmost discretion. The ideal candidate will be a seasoned professional with a strong ability to anticipate needs, manage priorities, and maintain a high level of professionalism in a fast-paced environment.
Key Accountabilities
- Coordinate and manage the CEO's schedule, including meetings, appointments, and travel arrangements, ensuring efficient time management.
- Prepare agendas, take minutes, and ensure follow-up on action items for internal and external meetings.
- Organize domestic and international travel, including flights, accommodation, transportation, and itineraries.
- Act as the primary point of contact between the CEO and internal/external stakeholders, managing correspondence and communications with professionalism.
- Ensure successful deployment and activation of mobile charging solutions, driving long-term value for bp and our partners.
- Monitor and reconcile the CEO's expense reports, manage budgets for specific projects, and ensure timely processing of financial transactions.
- Draft, edit, and proofread correspondence, reports, presentations, and other documents as required, ensuring accuracy and alignment with the CEO's objectives.
Essential Education
- Bachelor's degree in Business Administration, Communications, or a related field is preferred.
Essential Experience and Job Requirements
- Minimum of 5 years of experience as an Executive Assistant, preferably supporting C-level executives.
- Exceptional organizational and time-management skills.
- Strong written and verbal communication abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to multitask and prioritize in a dynamic environment.
- Discretion and confidentiality in handling sensitive information.
- High attention to detail and problem-solving capabilities.
- Experience with virtual meeting platforms (e.g., Zoom, Teams).
- Ability to work independently and as part of a team.
- Professional demeanor and strong interpersonal skills.
- Adaptable and flexible in responding to changing demands.
