Capital Administrative Assistant
This function of this role within the Capital organization is to oversee and assist with the various administrative needs of Project Management, Project Controls, Construction, and Drafting functions. This role primarily performs specialized and routine tasks of a support nature requiring knowledge of several departments, department activities, schedules, policies, and general office processes and procedures.
Key Responsibilities and Activities

  • Provides the administrative support to the management of TPC's Capital Portfolio including organization and facilitation of vetting and stage gate meetings, recording, and producing notes from vetting and stage gate outcomes and updating various records for the project development process.
  • Maintains the Capital vetting, stage gate, and vacation calendars; assists with maintaining department leave calendar and contact lists.
  • Supports the administrative needs for onboarding and offboarding of personnel both TPC and Contract
  • Assists in the development of documents for both internal and external communication, specifically the development and organization of the Bi-Weekly Capital Governance presentation, Monthly Business Review and AOP/LRP presentations
  • Organizes and maintains Capital Microsoft SharePoint site and facilitates the access and exchange of documentation housed there
  • Organizes, compiles, and distributes departmental monthly metrics
  • Transmits departmental documents, organizes revisions, applies edits and tracks changes
  • Supports the monthly departmental budget analysis and forecasting requirements

Qualifications
  • Use of PCs and familiarity with Microsoft Windows platform
  • Intermediate level Microsoft Office skills: Outlook, Word, Excel and Power Point
  • Using modern office equipment including printers and audio-visual equipment
  • Ability to organize and file documents
  • Able to prioritize multiple tasks and deliver
  • Performing basic research, analyzing data and information, developing, evaluating, and presenting solutions to issues
  • Communication, interpersonal skills as applied to interaction with coworkers, supervisors, the public, etc. sufficient to exchange or convey information and to receive work direction.
  • High School Diploma
Preferred Qualifications
  • 2-3 years in an office environment
  • Experience in a capital project office
  • Experience with ERP systems such as Oracle and/or SAP
  • Advanced level of Microsoft Office skills: Outlooks, Word, Excel, Access and Power Point
  • Familiarity with Microsoft SharePoint
