Overview
As a Parts Coordinator, you play a critical role in ensuring the right parts are delivered to internal teams on time. You will manage daily parts operations, provide clear status updates, and proactively follow up with vendors and internal stakeholders.
This role directly supports on-time delivery (OTIF), backlog reduction, and efficient service execution by keeping parts flowing and stakeholders informed.
Key Responsibilities
Parts Operations
- Create, submit, and release material purchase requisitions in the ERP system
- Coordinate with procurement to ensure timely purchase order (PO) placement and resolve discrepancies
- Process internal and external parts orders as needed
- Maintain accurate due dates and delivery status in tracking systems
- Provide project managers (PMs) with timely updates on part status, including risks and expected delivery timelines
Supplier Coordination & Expediting
- Proactively follow up with vendors to expedite parts and reduce lead times
- Track open orders and escalate delays or risks as needed
- Share regular updates (daily/weekly) with the parts team and PMs to ensure visibility
Shipping & Logistics Support
- Partner with warehouse and shipping teams to ensure accurate part handling and order fulfillment
- Assist in tracking shipments to support on-time delivery
Collaboration & Communication
- Work closely with the Parts & Tooling Specialist, Parts Professional, PM team, Procurement team, and vendors
- Provide timely updates to internal stakeholders to support OTIF performance
- Maintain and update Excel trackers and related documentation
Qualifications
- 1–2 years of experience in parts operations, supply chain, procurement support, or logistics
- Experience working with ERP systems (training provided for internal tools)
- Strong organizational skills with the ability to manage multiple priorities
- Clear and professional communication skills with a strong sense of urgency and follow-through
- Preferred: Experience in industrial equipment, rotating machinery, or aftermarket service environments
