Vendor Relations Coordinator

Locations:

  • Phoenix, AZ 85027

  •  Windsor, CT 06095

Schedule: Monday – Friday | 7:30 AM – 4:00 PM
Work Setup: Hybrid (1 day remote)




Position Summary

The Vendor Relations Coordinator supports the day-to-day maintenance and management of vendor repair and equipment request processes. This role serves as a liaison between customers, vendors, and internal teams to ensure timely service delivery, accurate documentation, and continuous process improvement within the vendor relations function.




Key Responsibilities

  • Receive customer requests and coordinate vendors for repair and equipment completion.

  • Record all incoming issues in designated systems and follow up with vendors and clients to ensure deadlines are met.

  • Provide timely and accurate updates to customers and internal systems.

  • Address day-to-day vendor issues and collaborate with internal departments to resolve them efficiently.

  • Review and submit vendor quotes, determine next steps, and coordinate part orders and other materials as needed.

  • Verify accuracy of work orders and data to ensure efficient processing, proper reporting, and billing accuracy.

  • Monitor team inbox and systems for new or escalated requests; assist with coverage as needed.

  • Maintain and manage orders within assigned territories to meet team metrics and performance goals.

  • Participate in process analysis and continuous improvement initiatives within vendor operations.

  • Collaborate with external and internal stakeholders to resolve operational issues.

  • Assist with onboarding and integration of new vendors as required.




Qualifications

Education & Experience:

  • High School Diploma or GED required.

  • No previous experience required (training provided).

Certificates/Licenses:

  • None required.

Skills & Abilities:

  • Strong organizational and communication skills.

  • Ability to multitask and manage multiple vendor requests simultaneously.

  • Detail-oriented with proficiency in data entry and system management.

  • Customer-service focused with a proactive problem-solving mindset.




Work Environment

  • Primarily an office-based hybrid role.

  • Frequent use of motor coordination and computer systems throughout the day.

  • Occasional lifting of up to 30 lbs.

  • Minimal exposure to physical or environmental hazards.
